Do not provide unnecessary sensitive data<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra asks you not to provide sensitive or special category personal data through the contact form or ordinary email when this is not necessary.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, do not provide the following unnecessarily:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>citizen service numbers;<\/li>\n\n\n\n<li>medical or health data;<\/li>\n\n\n\n<li>information about criminal matters;<\/li>\n\n\n\n<li>copies of identity documents;<\/li>\n\n\n\n<li>passwords, API keys or other login credentials;<\/li>\n\n\n\n<li>confidential personal data of employees, candidates, customers or other third parties.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">When such information is necessary for an assignment, appropriate arrangements will be made in advance for a suitable and secure method of exchange.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. For what purposes does Linkra process personal data?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra may process personal data for the following purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>answering questions and contact requests;<\/li>\n\n\n\n<li>establishing and maintaining business contact;<\/li>\n\n\n\n<li>assessing a potential assignment;<\/li>\n\n\n\n<li>preparing a quotation or proposal;<\/li>\n\n\n\n<li>preparing, entering into and performing an agreement;<\/li>\n\n\n\n<li>planning and carrying out work;<\/li>\n\n\n\n<li>maintaining contact with clients, agencies, intermediaries and suppliers;<\/li>\n\n\n\n<li>keeping financial and tax records;<\/li>\n\n\n\n<li>sending and processing invoices;<\/li>\n\n\n\n<li>complying with legal obligations;<\/li>\n\n\n\n<li>securing and technically maintaining the website;<\/li>\n\n\n\n<li>preventing and investigating fraud, misuse and security incidents;<\/li>\n\n\n\n<li>establishing, exercising or defending legal claims;<\/li>\n\n\n\n<li>measuring and improving website usage after consent has been given.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra does not use contact details for newsletters, commercial mailing lists, remarketing or personalised advertising without a separate valid legal basis.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">7. Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The required checkbox in the contact form confirms that you have read the privacy policy. The handling of your enquiry is not based solely on that checkbox as consent, but on the legal basis appropriate to the nature of your enquiry.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">8. Contact form and communication<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The contact form asks for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>name;<\/li>\n\n\n\n<li>email address;<\/li>\n\n\n\n<li>your company name, optionally;<\/li>\n\n\n\n<li>a message;<\/li>\n\n\n\n<li>confirmation that you have read the privacy policy.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Your name, email address and message are needed to assess and respond to your enquiry. Without this information, Linkra may be unable to contact you or handle your enquiry.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Contact form data may be stored temporarily in the WordPress database and is sent to Linkra by email. Linkra uses this data solely to handle and, where appropriate, follow up on your enquiry, unless the contact leads to a business relationship or assignment.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">9. Google Analytics 4<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra uses Google Analytics 4 to collect general statistics about website usage. Google Analytics is only activated after you have consented to analytics cookies through the cookie notice.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra uses Google Analytics to see, among other things:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>how often the website is visited;<\/li>\n\n\n\n<li>which pages are viewed;<\/li>\n\n\n\n<li>which website or search engine visitors arrive from;<\/li>\n\n\n\n<li>which type of device and browser is used;<\/li>\n\n\n\n<li>the approximate country or region a visit originates from;<\/li>\n\n\n\n<li>where technical or content improvements may be possible.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra has configured Google Analytics with privacy-limiting settings. This includes the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Google\u2019s applicable data processing terms have been accepted;<\/li>\n\n\n\n<li>the optional data sharing settings with Google are disabled;<\/li>\n\n\n\n<li>Google Signals is not used;<\/li>\n\n\n\n<li>advertising personalisation is disabled;<\/li>\n\n\n\n<li>Google Analytics is not used for remarketing;<\/li>\n\n\n\n<li>no audiences are shared with advertising platforms;<\/li>\n\n\n\n<li>no User-ID is used to recognise visitors across different devices;<\/li>\n\n\n\n<li>no directly identifying data is sent to Google Analytics;<\/li>\n\n\n\n<li>the retention period for user and event data is set to two months.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Google states that Google Analytics does not log or store individual IP addresses of visitors from the European Economic Area. An IP address may briefly be used to derive an approximate location, such as a country or region, and is then deleted. Linkra does not have access to a visitor\u2019s full IP address through Google Analytics.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Although Google Analytics is used with privacy-limiting settings, Linkra does not treat this processing as fully anonymous. Linkra therefore requests consent in advance.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Aggregated data in standard reports may remain available for longer than the configured retention period for user and event data. Further information about the cookies used, their retention periods and how to change your consent is provided in Linkra\u2019s cookie policy.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">10. Cookies and cookie preferences<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra uses functional cookies to make the website work properly and securely. Prior consent is not always required for these cookies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Google Analytics cookies are only placed after you have given your consent.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Complianz is used to record your cookie preferences and display the cookie notice correctly. Your cookie preference may be retained for up to twelve months. With whom does Linkra share personal data?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra does not sell personal data to third parties.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra may share personal data with parties needed for its business operations and services, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the hosting provider and technical website suppliers;<\/li>\n\n\n\n<li>providers of website, form, security and backup services;<\/li>\n\n\n\n<li>Microsoft 365 for business email and company documents;<\/li>\n\n\n\n<li>Google for Google Analytics, after consent has been given;<\/li>\n\n\n\n<li>a bookkeeper, administrator or tax adviser;<\/li>\n\n\n\n<li>legal advisers, insurers or other professional advisers;<\/li>\n\n\n\n<li>clients, agencies, intermediaries or suppliers when this is necessary for an enquiry or assignment;<\/li>\n\n\n\n<li>competent public authorities when Linkra is legally required to provide data.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Where a service provider processes personal data solely on Linkra\u2019s behalf, Linkra makes arrangements concerning confidentiality, security and personal data processing where necessary.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra does not share more personal data than is reasonably necessary for the purpose concerned.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">12. Processing outside the European Economic Area<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Some suppliers used by Linkra, including Google and Microsoft, are part of international companies. As a result, personal data may in certain situations be processed or accessible outside the European Economic Area.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When personal data is processed outside the European Economic Area, Linkra uses service providers that offer appropriate safeguards. Depending on the situation, these safeguards may include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>an adequacy decision by the European Commission;<\/li>\n\n\n\n<li>participation by the receiving organisation in a recognised data protection framework;<\/li>\n\n\n\n<li>standard contractual clauses adopted by the European Commission;<\/li>\n\n\n\n<li>other safeguards permitted by law.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Where reasonably possible, Linkra assesses the privacy and security terms of the service providers it uses.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">13. How long does Linkra retain personal data?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra retains personal data no longer than necessary for the purpose for which it was collected, unless a longer retention period is required by law or reasonably necessary.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra generally applies the following retention periods:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Contact enquiries that do not lead to an assignment<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Contact enquiries that do not lead to a quotation, agreement or assignment are generally deleted no later than twelve months after the last substantive contact.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Quotations and negotiations that do not lead to an assignment<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Quotations, proposals and relevant correspondence that do not lead to an assignment may be retained for up to two years after the last contact when this is needed for follow-up, accountability or recording agreed arrangements.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Assignments and business relationships<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Data needed to carry out an assignment is retained for the duration of that assignment. Relevant contracts, correspondence and project data may subsequently generally be retained for up to five years for relationship management, accountability and possible legal claims.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When data also forms part of the tax records, the longer statutory retention period applies.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Financial and tax records<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Invoices and other basic financial records are generally retained for seven years, insofar as the statutory tax retention obligation applies.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Google Analytics<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">User and event data in Google Analytics is retained for two months. Aggregated data in standard reports may remain available for longer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Cookie preferences<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Cookie preferences are retained for up to twelve months.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Technical log data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Technical log data is retained for as long as necessary for the operation, security, error analysis and protection of the website. In the event of a security incident or suspected misuse, relevant data may be retained for longer as necessary for investigation or legal handling.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After a retention period expires, personal data is deleted or anonymised in such a way that it can no longer be traced to an individual.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">14. How does Linkra secure personal data?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Linkra takes appropriate technical and organisational measures to protect personal data against loss, unauthorised access, alteration and misuse.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These measures may include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>encrypted connections using HTTPS;<\/li>\n\n\n\n<li>access controls and restrictions on administrator privileges;<\/li>\n\n\n\n<li>strong passwords and, where possible, multi-factor authentication;<\/li>\n\n\n\n<li>timely installation of security updates;<\/li>\n\n\n\n<li>limiting access to the people and suppliers who need it;<\/li>\n\n\n\n<li>secure backups;<\/li>\n\n\n\n<li>securing business accounts and devices;<\/li>\n\n\n\n<li>monitoring and investigating technical or security problems;<\/li>\n\n\n\n<li>arrangements concerning confidentiality and data protection with relevant service providers.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">No security measure can eliminate every risk entirely.
